Rented Equipment Policy

If you are renting equipment only, and need to provide a COI to your rental house, apply for a ‘Rented Equipment’ policy. The policy will meet the requirements of most rental houses who are asking you to list them as ‘Loss Payee’. If they are also asking you list them as ‘Additional Insured, they are requiring you to purchase a General Liability, too. See below for more.

Have you received a claim payout greater than $5K within the last 5 years? Was this claim made for lost/damaged property?
If yes, you will be required to enter your claim details when applying for a new policy with us and your policy may be subject to increased premiums.
After submitting your claim information while applying for a new policy, your application will be temporarily paused. During this time, our staff will review your application and claim history.
Within 24 business hours thereafter, your application will be un-paused and you will be free to proceed with policy purchase.
You will be notified of this by email.

  • The policy has the following limits:

  • The policy applies within the United States only, and does not apply internationally

  • Enter your business zip code.
  • Enter the type of work.
    • For example, videographer, photographer, DJ, Film production,  film shoot, movie shoot, film editor, etc.
  • Decide whether you want to add personal business property up to $5,000.
    • You will likely select NO because your equipment is already insured with your owned/rented equipment policy
  • Click CONTINUE after reviewing the policy language.
  • Review the monthly quote.
    • If you wish for a short term policy click “short-term policies” at the top.
  • Select your start and end date, then ‘View Policy’.
  • Decide whether to add additional crew members or click “Nope, Just me!”

  • Navigate to InsureMyEquipment.com. Click the type of coverage you need from the drop-down menu in the center of the page, then, ‘Get a Quote’
  • Click ‘Get a Quote’ again
  • Complete your application of insurance
  • The application is just a few pages long and will end in your personalized insurance quote
  • When you have received your quote, you can save your quote for later, edit your application to produce a new quote, or proceed to payment and get insured immediately.
  • Note that you can issue certificates of insurance after you have purchased your policy

Annual policies can be renewed through your dashboard online at InsureMyEquipment.com. Your renewal link will be available two months before your policy expiration, and up to one year after policy expiration.

If you receive an email notifying you that your renewal is upcoming, you can access your renewal application through your dashboard.

Please Note: If you wish to decrease your limits before renewing, do not attempt to decrease your limits on your current policy, instead go straight to your renewal application where you will be able to set new limits. 


Access Your Renewal Application

  • Log in at InsureMyEquipment.com and go to your Dashboard
  • Locate the link “Click Here to Renew” on the right side of your policy number
  • Your renewal application will pre-load with your expiring limits and scheduled equipment
  • Complete your application: update your limits and coverage, and add/edit or remove scheduled equipment
  • Complete payment (or save your quote to pay later)

Additional Information

If you are returning to the portal more than one year after your most recent policy, you will have to apply for a new policy.

While your previous policy limits and coverage will not pre-load your account information & rate category will remain the same.

You cannot renew short-term policies.

Insuring Borrowed Equipment

  • Policy coverage considers ‘Borrowed Equipment’ as ‘Rented Equipment’.
  • As long as there is a written agreement between the owner and borrower of the equipment, no moneys must be exchanged for the Rented Equipment policy to provide coverage.
  • Regardless of whom you borrow from (whether a friend or a stranger), the terms of the period you are borrowing should be in writing (the length you’ll be borrowing, the value of the borrowed equipment, etc.)
  • You may use a Rented Equipment policy to generate a COI to the owner of equipment you will be borrowing.

Letting Someone Borrow Your Owned Equipment

  • Be cautious when letting someone borrow your owned equipment.
  • When you knowingly release your equipment to a third party, coverage no longer applies. This means that unless the borrower has coverage, your policy will not cover any loss or damage that occurs while the equipment is with the borrower.
  • If you purchase False Pretense coverage, your equipment would be covered in the event that the borrower never returned the equipment, or refused to participate in a claim proceeding
  • You should always require your borrower to have Rented Equipment coverage and to issue you a COI listing you as Loss Payee

At InsureMyEquipment.com we give our clients the power to generate certificate of insurance from their online portal 24/7.

If a COI is generated and your address or company name is incorrect, your client can simply issue a new COI with the corrected information.


Verify a Certificate of Insurance (COI)

  • The COI will have arrived by email from notifications@insuremyequipment.com or our staff with emails ending in heffins.com.
  • If a client is a first-time buyer with us, you will see an indication in the body of the email. Refer to our ‘Fraud Prevention Guidelines’ in those cases.
  • Open the COI PDF document. You should verify your clients’ information, the policy start and end dates, and the limits of insurance (on page 2).
  • Go to www.InsureMyEquipment.com/VerifyCertificate and enter the unique code found on the last page of the COI. If a duplicate pops up, the COI is indeed valid. If you receive an error message, please message our staff right away, as the COI may be doctored.

Additional Information

  • Policies expire at 12:01AM on the expiration date
  • None of our policies include an ‘Unattended Vehicle Exclusion’.
  • Some of our policies exclude coverage for ‘Theft from an Unlocked Vehicle’. If you see the wording ‘This policy does not include coverage for theft from an unlocked vehicle’ on the last page of the COI, there is no coverage. Your clients can add this to their policy from their dashboard if you require it.
  • Deductibles are found on page 2 of the COI. The minimum deductible is $500 for domestic claims
  • The minimum deductible is $1,000 for international claims, and claims arising from theft from a vehicle
  • There is a $25,000 max limit while in Mexico, unless the COI states otherwise
  • If you wish to  be listed as additional insured as well as loss payee, our client must purchase liability coverage too. You will receive two separate COIs (one listing you as Loss Payee and the other listing you as Additional Insured). This is perfectly normal.

  • ShareGrid will ask you to provide proof of coverage before processing your rental. You can provide proof of coverage to them from your dashboard 24/7 by ‘Issuing a Certificate of Insurance’
  • After you have purchased a policy, go to your Dashboard.
  •  Click the link  ‘Issue a Certificate’
  • Select ‘Send a Certificate of Insurance to a Rental House Partner’ and select ShareGrid from the drop-down menu.
  • Click Continue.
  • ShareGrid will automatically receive your Insurance Certificate and should verify coverage immediately thereafter. If ShareGrid indicates that they are waiting for an agent response, please notify them that you have already generated a COI from InsureMyEquipment.com. They should need no further response.

In certain cases, you will be required to add custom wording to your Certificate of Insurance. For example, financing/leasing institutions will often require you to list your lease number and equipment explicitly on your policy. Other companies may ask that specific wording is listed in the ‘Description of Operations’ section.


Customizing the Wording on your COI

  • Email support@insuremyequipment.com with the following information and allow up to 24 business hours for a response.
    • Subject: Custom COI
    • Provide:
      • Your policy number and name
      • Rental House or Certificate Holder Information (Name, Address, Email, Contact Name)
      • What is required in the Description of Operations section.

Or better yet…  Forward us the email you received from the rental house, or financial institution, which includes the information above. We can be reached at support@insuremyequipment.com

Note: It may take up to 24 business hours to return a customized COI. Please plan ahead!

InsureMyEquipment.com is your quick and easy portal to get coverage for production equipment.

If you are financing or leasing equipment through a bank or other institution, you will find that you are required to provide proof of coverage or they will purchase insurance on your behalf.

You can apply for the Owned Equipment policy to insure your leased/financed gear.

After you have purchased your policy, you will need to generate a Certificate of Insurance for the financing company which includes your lease number and the specific equipment you are leasing/financing.


Listing your Leasing/Financing Vendor as Loss Payee Only

If you are being asked to list the vendor as “loss payee” only, it means that your financing institution requires you to have both property coverage coverage only.

You can apply for the Owned Equipment policy through InsureMyEquipment.com and generate a COI immediately after policy purchase.

Apply for an Owned Equipment policy online at InsureMyEquipment.com. Make sure to include the details (make, model, serial number & replacement cost) for any items individually valued above $2,000. You do not need to include that information for lower valued items.

After policy purchase, generate a COI from your dashboard. Find the link, and click ‘New Certificate Holder’ then enter in your financial institutions details, including their email. They will receive the COI electronically in real time.

Listing your Leasing/Financing Vendor as Loss Payee and Additional Insured

If you are being asked to use the language “loss payee and additional insured” it means that your financing institution requires you to have both property coverage and liability coverage.

You can apply for both policies separately through InsureMyEquipment.com, and generate certificates of insurance from each policy

Apply for an Owned Equipment policy online at InsureMyEquipment.com. Make sure to include the details (make, model, serial number & replacement cost) for any items individually valued above $2,000. You do not need to include that information for lower valued items.

After policy purchase, generate a COI from your dashboard. Find the link, and click ‘New Certificate Holder’ then enter in your financial institutions details, including their email. They will receive the COI electronically in real time.

Add Custom Wording on a COI

Sometimes companies will ask us to list specific information in the ‘Description of Operations’ box or in the ‘Comments’ section of a Certificate of Insurance. This is possible, but unfortunately can’t be done online.

If you need custom wording on your COI, please email support@insuremyequipment.com with the following information:

Subject: Custom COI

Provide: -Your policy number and name

-Company name, Address, Email, Contact Name

-What is required in the Description of Operations section.

Adding a Loss Payee

  • When renting equipment from a rental house, individual, company or location, you will be required to list that party as a “Loss Payee” on your insurance policy.
  • The Loss Payee designation guarantees that if a claim is filed for their equipment while in your possession, they will be the party to which payment is remitted.
  • “Loss Payee” designation only applies to property policies (also known as Inland Marine policies) such as the Rented Equipment policy.
  • You can do list your vendor as Loss Payee by purchasing a rented equipment policy. After policy purchase, you will have access to generating certificate of insurance through your Dashboard at InsureMyEquipment.com.
  • To issue a COI, you’ll need the following information from your vendor:
    • Company Name:
    • Company Address:

‘Water Use’ coverage is an optional endorsement that can be added on to a Rented, Owned, or Musical Instrument policy.

The endorsement will add coverage for equipment while it is being used afloat, or submerged in water.

For example: Coverage will now apply while your equipment is on a boat, barge, cruise, or any other vessel on a body of water. Coverage will also apply if your equipment is used in proper underwater housing to film footage underwater.

**Without adding this coverage, your equipment is not insured while afloat or submerged, even if the cause of damage or loss is not water related; such as theft of equipment on a cruise, or accidental damage while on a yacht.


Add ‘Water Use’ Coverage to your Policy

Per the terms of this policy, any theft from a vehicle where no signs of forcible entry are present, is considered theft from an unlocked vehicle. 

For example: You have a keyless entry vehicle and a thief uses a signal mirroring device to unlock your vehicle and remove all of its contents but does not leave any broken glass, pulled door panel, or other sign of forced entry. The insurance carrier may deem this as “Theft from an Unlocked Vehicle” and will decline the claim unless you have coverage for theft from an unlocked vehicle.

Many rental houses will not release their equipment without this coverage in place.

Limit Decrease Circumstances

  • If you need to decrease your limit on a short or annual term rented equipment policy that has already started, your limit can be decreased only if you have not generated any certificates of insurance. 
  • If you have accidentally set your Rented Equipment limit too high and have already generated certificates of insurance, you will want to purchase a new and correct policy so that your old policy can be cancelled and the certificate holders notified of cancellation.
    • In this case, go ahead and purchase your new and correct policy. Reach out to us at InsureMyEquipment@heffins.com once you have purchased your new policy so that we may cancel your previous policy.
  • To decrease your Owned Equipment limit:
    • determine whether any of the equipment you wish to remove from your policy is scheduled (valued above $2K).

To qualify for false pretense coverage:

  • The equipment being leased/rented/borrowed is already included in your total equipment limit.
  • There will be a written contract in place before any equipment is released to a renter/lessee/borrower. This contract will specify that the renter/lessee/borrower assumes full responsibility for any loss, damage, or theft of the equipment while it is in their possession.

Additional Information

  • The deductible for false pretense claims will be 5%  of the total loss amount with a minimum deductible of $500 and a maximum deductible of $25,000

  • Policy coverage considers ‘Borrowed Equipment’ as ‘Rented Equipment’.
  • As long as there is a written agreement between the owner and borrower of the equipment, no moneys must be exchanged for the Rented Equipment policy to provide coverage.

Letting Someone Borrow Your Owned Equipment

  • False Pretense coverage will apply if your renter fails to return the equipment as promised, or rents under false pretenses.

Deductible Information

Standard Domestic Deductibles are available ($250, $500, $1,000, $2,500 & $5,000). Select your desired deductible while applying.
Both International Deductibles and Theft from any Vehicle Deductibles are determined by the policyholder. They range from $1,000 to $5,000.

Scheduling Equipment

  • Equipment valued above $2,000 must be scheduled onto the policy. Each item must be listed with make, model, serial number and replacement cost
  • All items valued below that can be grouped together and added into the Unscheduled (blanket) limit which does not require individual information for each item
  • If you acquire a new piece of equipment valued above $2,000, you have up to 90 days to enter that item onto your policy schedule or no coverage will apply.

International Coverage

Additional Information

  • If the claim incident involves theft burglary, robbery or other illegal or criminal act, you are required to promptly report the matter to the police and obtain a valid police report
  • If the claim incident involves forcible break into a vehicle, submit photograph(s) illustrating the damage to the vehicle caused by forced entry
  • If the claim incident occurs while equipment is in transit (car, plane, train) while in the custody of a courier, written notice of claim should be filed with the carrier as soon as loss or damage becomes known
  • Keep in mind, the insurance company may require additional documentation, activities or procedures. The insurance company pay determine further investigation is required and may assign an investigator to assist in determining the nature, cause and extend of loss or damage
  • In the event of loss or damage, you are obligated to safeguard the equipment and if practicable, take necessary steps to protect the equipment from further loss or damage. Failure to safeguard damaged goods or otherwise mitigate the loss may prejudice your rights under the policy.

  • There will be a written contract in place before any equipment is released to a renter/lessee/borrower. This contract will specify that the renter/lessee/borrower assumes full responsibility for any loss, damage, or theft of the equipment while it is in their possession.

  • The deductible for false pretense claims will be 5%  of the total loss amount with a minimum deductible of $500 and a maximum deductible of $25,000

Some rental houses require you to have this coverage, and, if you do not, they may demand that you pay for their lost income while their equipment is out for repair or replacement.

For example: You rented a camera kit from Rental House ABC for one week. During your rental, the camera falls from your tripod and is damaged. The repair shop estimates it will take 3 weeks to repair the camera. The Rental House could demand that you reimburse them $1,500 for the income they will lose, while they are unable to rent the kit to anyone else.

‘Unscheduled’ equipment is considered to be all items you own that are individually valued below $2,000.  Your ‘Unscheduled’ limit is a blanket limit which covers all of your smaller items that are not individually listed on your policy.

‘Scheduled’ equipment is considered to be all items you own that are individually valued above $2,000. Scheduled equipment must be added to your policy’s ‘Scheduled Equipment List’ for coverage to apply (with the make, model, serial number and replacement cost).


Additional Information

  • Your Owned Equipment Limit is made up of your scheduled items (items valued above $2,000) and your unscheduled limit. When you select a limit, the value of the scheduled items are subtracted from your overall limit and remainder is your blanket unscheduled limit.
  • For example:
    • You have purchased an Owned Equipment policy with a $50,000 limit. You add two cameras to the policy, one valued at $5,000 and another valued at $15,000. Your ‘Scheduled’ equipment limit is $20,000. Your ‘Unscheduled’ equipment is $30,000.
    • A few months later you purchase another camera valued at $3,000 and add it to your ‘Scheduled’ equipment list. Your new ‘Scheduled’ equipment limit is $23,000. Your new ‘Unscheduled Equipment limit is $27,000.

Additional Information

  • When you add a ‘Scheduled’ item to your policy, the value will be subtracted from your ‘Unscheduled’ equipment limit.
  • You will not need to submit a list of your unscheduled equipment to us. However, you will need to provide a list of any equipment involved in any potential claim, at the time the claim is submitted. Because of this, we do recommend that you keep a list of all equipment you own handy (make, model, serial number and replacement cost).
  • All other items valued below $2,000 are grouped together under the ‘Unscheduled Equipment’ limit.
  • You have up to 90 days after acquiring new ‘Scheduled’ equipment to add it to your ‘Scheduled Equipment List’ online.

Your policy will expire at 12:01AM on the expiration date.

Because the policy expires at 12:01AM, renters will note that their expiration date will be one day after their selected drop off date.

For example:  You apply for a policy with an equipment pick-up date of 12/1 and a drop-off date of 12/3.
Your policy will show coverage dates 12/1 – 12/4. You are not paying for the 4th and will not have coverage on the 4th.

You can still file a claim after your expiration date, as long as the claim incident occurred within your coverage period.

The ‘Theft from any Vehicle’ Deductible applies to any claim arising from theft from a vehicle. 


‘Theft from any Vehicle’ Deductible

  • This deductible can be selected by the insured while applying for a new policy. The deductible options are $1,000, $2,500 or $5,000.
  • If this deductible is left at the standard $2,500 value, no change applies to premium.
  • If this deductible is lowered to the $1,000 value, an increase will apply to premium.
  • If this deductible is increased to the $5,000 value, a discount will apply to premium.
  • Bear in mind that the deductible must be paid by the policyholder in the event of a loss, before the insurance carrier steps in. If you are increasing your deductible, be certain you are ready to pay the deductible in the event of a loss.

Additional information

  • If more than one deductible apples, the larger of the two will be applied to the claim

Unscheduled Equipment Limit

  • Your Owned Equipment Limit is made up of your scheduled items (items valued above $2,000) and your unscheduled limit. When you select a limit, the value of the scheduled items are subtracted from your overall limit and remainder is your blanket unscheduled limit.
  • For example:
    • You have purchased an Owned Equipment policy with a $50,000 limit. You add two cameras to the policy, one valued at $5,000 and another valued at $15,000. Your ‘Scheduled’ equipment limit is $20,000. Your ‘Unscheduled’ equipment is $30,000.
    • A few months later you purchase another camera valued at $3,000 and add it to your ‘Scheduled’ equipment list. Your new ‘Scheduled’ equipment limit is $23,000. Your new ‘Unscheduled Equipment limit is $27,000.

Additional Information

  • Because the value of your added scheduled items will be subtracted from your ‘Unscheduled’ Limit, you may need to increase your overall limit to bring your ‘Unscheduled’ limit back to a comfortable level
  • You will not need to submit a list of your unscheduled equipment to us. However, you will need to provide a list of any equipment involved in any potential claim, at the time the claim is submitted. Because of this, we do recommend that you keep a list of all equipment you own handy (make, model, serial number and replacement cost).

Valuation is a financial assessment of the worth of an item. In the context of insurance, valuation refers to giving a dollar figure for assets to be insured. This way both the insured and the insurer know how much money the insurer will give to the insured in the event of a covered loss for the asset.


Valuation

Your policy values your equipment by Replacement Cost which means the cost to repair, rebuild, or replace the lost or damaged property with other property with like kind and quality.

In the event of a claim where repair is required, the insurance carrier will not pay for the damage until the property is actually repaired or replaced.

If you wish to settle with Actual Cash Value  instead of Replacement Cost, you will  receive a check instead of reimbursement for replacement property, less 20% of the full replacement cost (to receive the remaining amount when you provide proof of purchase), you’ll have the opportunity to make that decision during your claim proceeding.

How to value equipment 

Look at the current market rate of the item you own or rent; same make and model. The claims adjuster may correct your declared replacement cost.

For example: You purchased a camera in 2018 for $4K. Today that same camera (make and model) can  be purchased on eBay for $2,500. The current replacement cost value of the camera is $2,500.

Remember

Insurance is meant to make you whole again, not increase your property worth.

If your item is two years old, you should look at the used value of the same make a model. If you just purchased your item within the last three months, you can look at the new value of the same make and model.

If a COI is generated and your address or company name is incorrect, your client can simply issue a new COI with the corrected information.


Verify a Certificate of Insurance (COI)

  • The COI will have arrived by email from notifications@insuremyequipment.com or our staff with emails ending in heffins.com.
  • If a client is a first-time buyer with us, you will see an indication in the body of the email. Refer to our ‘Fraud Prevention Guidelines’ in those cases.
  • Open the COI PDF document. You should verify your clients’ information, the policy start and end dates, and the limits of insurance (on page 2).
  • Go to www.InsureMyEquipment.com/VerifyCertificate and enter the unique code found on the last page of the COI. If a duplicate pops up, the COI is indeed valid. If you receive an error message, please message our staff right away, as the COI may be doctored.

Additional Information

  • Policies expire at 12:01AM on the expiration date
  • None of our policies include an ‘Unattended Vehicle Exclusion’.
  • Some of our policies exclude coverage for ‘Theft from an Unlocked Vehicle’. If you see the wording ‘This policy does not include coverage for theft from an unlocked vehicle’ on the last page of the COI, there is no coverage. Fraud is an unfortunate reality in the production equipment industry. As technology improves and new equipment becomes increasingly more expensive, your rental inventory becomes a target for dishonest customers.

To keep dishonest customer from using InsureMyEquipment.com, we have built several fraud prevention controls into our application process. We now also utilize Blockscore to verify the identity of online applicants.

When a new customer successfully purchases a policy and sends a Certificate Of Insurance, the certificate holder will be notified if the customer is a first-time policyholder with InsureMyEquipment.com. To verify that the Certificate Of Insurance received has not been illegally altered; verify it online at any time here.

Though we’re doing all we can to fight fraud, we hope you’ll join in the effort too.


Fraud Prevention Guidelines

  • Always require ID to rent. 
    • Consider Investing in an ID Verification System
    • Multiple forms of ID should be provided for suspicious customers
  • Do not ship to first-time customers. 
    • Always require first-time to come in person to pick up equipment
    • Especially avoid shipments to first time customers living in another state
  • Require industry references.
    • Perform an online search for a company or individual website, LinkedIn, facebook and/or imbd account
    • Ask for three industry referrals or teachers, if they are still a student
  • Require the person listed on the policy to pick up the equipment. 
    • There could be coverage issues if the individual who physically has the equipment is not listed on the policy.
  • Check the credit card.
    • Make sure the credit card is valid before releasing equipment.
    • Check that the address associated with the credit card matches the address listed on the policy and rental contract
  • Identify strange customer behavior.  
    • For example, the client is renting multiple expensive cameras simultaneously
    • Or, if the customer refuses or is unable to provide project details
    • And, if the customer has no industry knowledge of any items being rented
  • Identify high-risk rentals.
    • Policies that only cover the rental dates
    • Walk-in first-time customers who try to rent equipment for the same day
    • Short-term policies for first-time customers lasting 1 day to 2 weeks
  • Communicate with other rental houses.
    • Reach out to local rental houses to find out if the same customer has attempted to rent there
    • Reach out to national rental houses via this website.
  • Register your equipment.
  • Join ESTA.org 
    • As members of ESTA’s Rental Guard program, one can receive notifications from within the production equipment industry when a theft has been attempted or perpetrated. Details of the criminal or suspicious customer are provided within the email.
